Job Responsibilities:

  • Provide backup support for purchase and contract requests in NetSuite and project requests in Brightwork
  • Assist with monthly maintenance and contract renewals database
  • Scan, load, organize and maintain all documents and file structures related to budgets, projects and contracts in the Administrative area of internal database
  • Answer and direct incoming calls on main phone line
  • Distribute mail
  • Order and maintain office/kitchen supplies;
  • Submit building maintenance and security badge requests
  • Assist with meeting scheduling and vendor interactions
  • Other Admin Project support

Must Have:

  • Bachelor's degree, or a minimum of 5 years of administrative or academic experience in lieu of a degree
  • Strong customer service, organizational and communication (oral and written) skills
  • Detailed-oriented
  • Self-motivated and able to work with minimal supervision
  • Excellent interpersonal skills
  • Ability to multi-task and prioritize
  • Ability to work within a team and interact professionally with all staff levels within the organization
  • Ability to handle confidential information
  • Basic knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Microsoft Access
  • Outlook scheduling experience
  • Ability for overtime as needed

Nice to Have:

  • Previous Association experience
  • Previous experience with MS SharePoint
  • Previous experience using a financial management system such as PeopleSoft or NetSuite
